Trinity is the largest residential property management firm in San Francisco.  We are the premier source of furnished, unfurnished, short term and corporate apartments in San Francisco.  We are a dynamic, stable company with thousands of residential units throughout the city.

 

Under the direct supervision of the Property Manager, this position provides administrative and customer service support for the Residents of 1188 Mission and other properties.  The RSC also performs duties such as filing, coordination of move in/out, operating the telephone system to receive and direct incoming calls to the proper party, receive and direct residents, applicants and others to the appropriate party, and works on special projects.  Other duties include creating and posting notices, entering office/housekeeping supply orders, assembling move in packets and programming resident FOBs, posting Craisglist advertisements and responding to deposit disputes. Independent judgment is required to plan, prioritize and organize diversified workload.  This position may work weekends.

 

This job operates in a professional office environment. This role routinely uses standard office equipment such as scanners, radios, computers, phones, photocopiers, filing cabinets and fax machines. Occasional visits to other sites in San Francisco may be required.

   

Responsibilities

  • Schedule all Pre Move Out Inspections
  • Ensure that all move outs are done in a timely manner and notify Maintenance Manager as soon as move out inspection is complete
  • Coordinate move out inspections; take pictures, complete move out condition of premises reports and forward all documents in a timely manner to Accounting
  • Pre-Inspect Made Ready units for Final Inspection by Property Manager
  • Assemble keys and move-in packets for new residents and place Welcome Bags in unit
  • Order office and housekeeping supplies and upload packing slips to Yardi Payscan
  • Investigate and draft response to all deposit disputes
  • Perform other administrative and office support activities for the Leasing Agents, Assistant Property Manager and Property Manager as directed by the Property Manager
  • Assist with move-in packets, application approvals, manage ads, review credit/approvals via Yardi, corporate rental confirmations, track signed leases, et cetera
  • Coordinate Open House schedule with property managers for RPM approval
  • Other duties as assigned by the Property Manager 

Qualifications

  • 1 year of administrative assistant /property management experience in busy, large office
  • Intermediate computer skills with the ability to learn new software programs as needed
  • Excellent writing capabilities for correspondence, memos, etc.
  • Ability to lift/carry up to 20 pounds
  • Prior Property Management industry experience helpful but not required.
  • Professional in appearance and attitude – Business Dress required daily
  • Extensive customer contact
  • Excellent communication and interpersonal skills
  • While performing the duties of this job, the employee is regularly required to sit
  • This role is approximately 50% desk related and 50% active, walking, etc.
  • Position may work weekends
